What is a Virtual Assistant?

A Virtual Assistant, or VA, is an independent contractor who provides short

and long term on-going office support from an off-site location. There are many benefits associated with Virtual Assistants. Most of all, you pay for only the time you need, when you need it.

Who hires Virtual Assistants?

Anyone who needs assistants and are not wanting or are not in the position to hire on-site help, needs a VA. Independent producers with their own expertise, reputation and practices.

How much do our services cost?

The cost for our services are based on the total number of hours that you

need support each month and the type of service that you require.

Is there a minimum?

There is no minimum, allowing even new agents the ability to afford the support they need.

What is a retainer?

A retainer is a package deal on a certain number of hours that the client will need on a monthly basis. The more hours that the retainer is for, the better the hourly rate that the client receives.

Do unused retainer hours roll over for the next month?

We do roll over unused retainer hours for our clients. Upon receipt of the next month's retainer payment, the account is issued a credit for any unused retainer hours for the previous month.

Is a retainer required?

No, a retainer is not required. However, our retainer packages offer lower rates based on the number of monthly hours required.

How do we track our time?

We use TimeTrax, a software that is designed to act like a timer with task lists to be sure you will be invoiced only for the work performed.

How do we charge?

Our rates vary depending on the nature of the project, if the client is on a

retainer and other factors. The more hours that the client commits to in a

retainer, the better the hourly rate.

How are we billed?

Clients are billed via email or fax on a monthly basis, either on the 1st or

15th of the month.

Your invoice will include a detailed explanation of all services provided

and the actual time it took to complete such tasks.

When is payment due?

Payment is due upon receipt of invoice, either on the 1st or 15th of the month. Any invoices that are not paid within 3 working days are considered late and may assess a late fee.

Am I responsible for anything other than the VA's time?

If there any additional costs associated with your project, such as postage, printing costs, etc., the client will be billed the actual amount spent. The client will be advised prior to such expense and asked for approval.

Who am I actually hiring with I use the Virtual Business Partners?

When using our of our VA's, your contact and agreement is with Virtual Business Partners. There's no need for you to search for a VA. We do that for you!

Who manages my Virtual Assistants?

There's no need for you to manage your VA, we do that for you. We will ensure  that the tasks assigned are completed and by your deadline. If there's a problem,  we contact you immediately and handle the situation. We also will check in regularly with you to make certain that all is running smoothly.

What if my VA gets sick?

One of the great things when working with us is that if your VA gets sick or

goes on vacation, with the procedure list that was created at the beginning of our working relationship, we can easily find a VA to step in and cover for the missing VA.

How do I know that my VA has completed the work?

Typically you will see the completed results, such as with your website, etc. The client is also copied on all email and hard mailings. We also offer our retainer clients access to our intranet where they can view and have access to all documents, to-do lists and status.

What if there's a problem with the work completed?

If there's a problem with your task, contact us directly. We will review the

problem and correct it immediately.

How do we communicate with clients?

Very easily! Email, fax, phone and voice mail. These days virtually anything can be transported over the internet and via email. We also use traditional methods such as overnight or express services are billed tot eh client at cost.

What about confidentiality and privacy?

All of our clients and their information are kept strictly confidential. All work is saved in confidential folders in our office. We take your privacy very seriously. Please visit our privacy policy for more information.

How do I know that my VA won't be sharing my secrets?

We have signed agreements with all of our VAs that include explicit confidentiality clauses that provides for serious consequences if it is breached.

Can I hire my Virtual Business Partner VA to do other work for me directly?

Our VAs are not allowed to complete any work for our clients outside of the Virtual Business Partner agreement we have with the client.   e Virtual
